Confirmed, Expected or Unknown? A GLOW Blend Delivery Handover

Telling a colleague the order is on its way is not a handover. Label each delivery detail as confirmed, expected or unknown so cover staff know where things stand.

Storage & Delivery illustration for the CLOVA guide: Confirmed, Expected or Unknown? A GLOW Blend Delivery Handover

It is Friday afternoon, your GLOW order is somewhere between the supplier and your lab, and a colleague is covering on Monday. A note saying "it's on its way" leaves them with nothing to act on. They cannot tell whether it has been dispatched, whether anyone has seen a tracking number, or who should be chasing what.

This article shows how to write a handover for a BPC-157 TB-500 GHK-Cu blend delivery in the UK so that the next person can pick it up without ringing you. It covers communication between colleagues only. Handling and acceptance decisions stay with whoever is responsible for them.

Label every detail as confirmed, expected or unknown

Preparation, dispatch and arrival are three separate events, and notes tend to blur them. Give each detail one of three labels and write the source beside it.

  • Confirmed. Something a document or message establishes. "Order confirmation received" or "dispatch notification received with tracking reference" are confirmed because there is a message to point to.
  • Expected. A forecast, not an event. "Supplier said it should arrive this week" is useful for planning, but it should stay labelled as expected until a source says otherwise.
  • Unknown. What you have not been told. "Whether it has left the warehouse" is a perfectly good entry.

Orders paid before 1pm UK time, Monday to Friday, are dispatched the same working day, which tells you when to look for a dispatch notice. It does not tell you when the parcel will reach you. Tracking is what establishes movement.

What the note should contain

  1. The order reference and the product line, for example the GLOW pen (label name KLIKGLOW), listed as BPC-157 10mg, TB-500 10mg and GHK-Cu 50mg in one 3ml pen. A nickname alone may not identify the right order.
  2. When the order was placed and confirmed, with the date.
  3. The latest status, who said it and when.
  4. Where the tracking reference is held.
  5. Who will receive the parcel, where, and when someone will be present.
  6. What the goods-in team should expect. The parcel ships cold in discreet, unbranded outer packaging, so a plain box should not be mistaken for ordinary post.
  7. Whether space is ready. Our storage guide gives the conditions: 2 to 8°C, not frozen, away from light.
  8. What is still unknown, and who is chasing it.

Keep logistics apart from quality

A tracking page that has not updated tells you the tracking page has not updated. It is not evidence that anything is damaged or has deteriorated. Keep delivery uncertainty and product conclusions in separate parts of the note, and do not invent a quality finding to make a scheduling worry sound more urgent.

If something does look wrong on arrival, the handover should name the person who owns that judgement. Purchasing staff should not improvise acceptable time or temperature limits to close the file. Our returns and refunds page explains how to raise a problem.

Give the next step one owner

Merged instructions like "chase the order" produce duplicated emails and still leave the real gap open. Split the work:

  • Supplier-facing: ask for the specific event you do not know, for example whether a dispatch notice has been issued.
  • Internal: confirm that fridge space and a receiving contact are ready.
  • Technical: if a report is published for the batch, someone matches the batch number on the label to it on arrival. Our COAs page lists reports where they are available.

Name one person for each. The contact detail for the supplier-facing task should include only what is needed to find the order, not unrelated project information.

A sample note

GLOW order handover, Friday. Confirmed: order paid and confirmation email received (in the shared inbox). Expected: arrival early next week, per the supplier's message. Unknown: whether a dispatch notice with tracking has been sent. Next steps: the buyer checks the shared inbox on Monday morning and replies to the supplier only if no dispatch notice has arrived. The lab manager confirms fridge space and who signs for the parcel. Nothing in this note is a quality finding.

Keep it that short. If a later update overtakes any line, mark it superseded instead of deleting it, so the order history stays readable.

Everything in the delivery is supplied for laboratory research use only, which is worth remembering when the note is forwarded: it should read as a logistics record and nothing more.

Frequently asked questions

What if the tracking has not moved?

Record it as unknown, add the date you last checked, and ask the supplier a single question about the event you are missing. Our delivery information page explains how orders are dispatched. Do not assume damage from a quiet tracking page.

Should the handover include the Certificate of Analysis?

Include a pointer to it if one is published for the batch, and note that the batch number on the label should match the report. Not every product or batch has one, so say so if none is available.

How long should a handover note be?

A few lines. If a colleague can find what is confirmed, what is expected, what is unknown and who does what next in under a minute, it has done its job.
